Responsibilities

We are seeking a highly organized, tech-savvy, and proactive Real Estate Executive Assistant to support and elevate our team’s operations and client experience. This role requires a detail-oriented leader with excellent communication skills, a passion for process improvement, and a strong aptitude for planning and execution.

Key Responsibilities:

  1. Transaction Management: (not perform TC work unless TC is out)
    • Oversee the transaction process, acting as the go-to person for team members to ensure seamless operations and resolve challenges efficiently.
  2. Operations and Systems:
    • Maintain and revitalize existing operational systems to optimize workflow and team productivity.
    • Order supplies, track, and maintain inventory to support team needs.
  3. Client Events and Engagement:
    • Plan, organize, and execute engaging client events, team masterminds, and seminars to foster relationships and enhance the client experience.
    • Plan, organize, and oversee “pop-by” items for clients, ensuring thoughtful, timely delivery.
    • Manage the scheduling and mailing of personalized items, including cards, gifts, and surprises for clients and referral partners.
  4. Team Support:
    • Lead onboarding and training for new hires to ensure smooth integration into the team.
    • Run team meetings, fostering collaboration and alignment toward team goals.
  5. Marketing Oversight:
    • Manage the marketing department, ensuring their work is completed efficiently, on time, and aligned with the team's objectives.
    • Contribute to innovative marketing strategies that enhance client engagement and business growth.
    • Help record videos to provide the marketing team to use
  6. AI and Technology Implementation:
    • Grow the team’s AI knowledge and implementation strategies, integrating cutting-edge tools to improve productivity and client satisfaction.
    • Provide support and training to help team members thrive in using new technologies.
    • Take courses and implement topics into the team after discuss with team lead which topics to implement and when
  7. Team Lead and Client Care Coordination:
    • Organize and oversee team leads, listing staging, and client care processes to ensure an exceptional client journey from start to finish.

  1. Real Estate License (Optional but Preferred):
    • A valid SC real estate license ensures familiarity with industry regulations, terminology, and transaction processes.
    • Enhances the ability to support transaction management effectively.
  2. Certified Administrative Professional (CAP)(Optional but Preferred):
    • Demonstrates advanced skills in office management, organizational strategies, and administrative operations.
  3. Project Management Certification (e.g., PMP, CAPM)(Optional but Preferred):
    • Equips the candidate with skills in planning, organizing, and executing events and projects efficiently.
  4. Marketing Certifications(Optional but Preferred):
    • HubSpot Content Marketing Certification or similar programs to understand effective marketing strategies and tools.
    • Certifications in social media management platforms like Hootsuite or Meta Blueprint are advantageous.
  5. Event Planning Certification (Optional):
    • Programs like the Certified Meeting Professional (CMP) or Event Planning Foundations ensure expertise in planning and executing seminars, masterminds, and client events.

  3. Real Estate Software:
    • Familiarity with platforms like Dotloop, DocuSign, or TransactionDesk for document and transaction management.
    • Experience with listing and staging tools such as Canva or Floorplanner.
  4. Marketing and Design Tools:
    • Skills in graphic design tools like Canva, Adobe Creative Suite, or PicMonkey for creating professional marketing materials.
    • Experience with email marketing platforms like Mailchimp, Constant Contact, or ActiveCampaign.

Compensation

$70,000 - $85,000 USD Yearly
